A rent receipt takes about a minute to write, and it is the cheapest dispute insurance that exists in a landlord-tenant relationship. When a payment gets questioned months later, whoever holds the paper wins the argument.

What a Rent Receipt Must Include
A rent receipt is a specialized version of a normal receipt. It needs the same core information as any properly made receipt, plus three rental-specific fields: the property address, the rental period, and the landlord's signature.

Here's why each field earns its place:
- Receipt number. Number receipts sequentially. Twelve months of numbered receipts form a payment history a court or housing authority can read at a glance.
- Date of payment. The day the money changed hands, not the due date. If rent was late, the honest date plus the late fee line is what protects you.
- Tenant name. With roommates, name the person who actually handed over the payment.
- Property address. Include the unit number. Landlords with multiple properties need receipts that can't be confused between units.
- Rental period. The month or dates the payment covers. This is the single most disputed detail in practice: a payment made on August 3rd could be late August rent or early September rent, and only the receipt says which.
- Amount paid and balance due. If the tenant paid $1,400 against $1,450 owed, show both numbers. If a late fee applies, itemize it rather than folding it into one total.
- Payment method. Cash, check number, money order number, or app. This matters most for cash, which has no trail of its own.
- Landlord signature. The signature and title of whoever received the payment. New York requires this by statute, and it's the field that makes the receipt persuasive everywhere else.
New York's requirement is actually a useful national checklist: state law there requires the date, the amount, the identity of the premises and period covered, and the signature and title of the person receiving the rent (NY Real Property Law § 235-e). Hit those four and the other fields above, and your receipt satisfies the strictest common standard.
Do Landlords Have to Give Rent Receipts?
In many states, yes. The trigger is usually the payment method: legislators wrote most of these laws to protect cash-paying tenants, because cash leaves no bank record.

The three common patterns:
- Required for every payment. New York requires a receipt for any payment not made by personal check (and even then, tenants can demand receipts with a written request). Hawaii and Washington, D.C. have similarly broad rules.
- Required for cash payments. Texas, Colorado, Connecticut, Delaware, Maine, Minnesota, Maryland, Wisconsin, and Virginia all require receipts when rent is paid in cash (some also cover money orders). Texas adds teeth: landlords must also keep a payment record book, and a tenant who prevails in court can recover the greater of one month's rent or $500 per violation (Texas Property Code § 92.011).
- Required on request. California, Washington, Oregon, Nevada, and New Jersey require a receipt when the tenant asks for one.
Two caveats. These rules change, and cities sometimes add their own requirements on top (Columbus and Cincinnati require receipts even though Ohio as a state does not), so check your state statute and local housing rules for the current picture. And record-keeping duties can outlast the receipt itself: New York requires landlords to keep cash receipt records for three years.

How to Write a Rent Receipt, Step by Step
Say your tenant Jamie hands you $1,450 in cash on August 1st for August rent on 412 Elm St, Apt 2B. Here's the full receipt:
- Number it. This is receipt #0038, following July's #0037.
- Date it. 08/01/2026, the day you received the cash.
- Name the payer. "Received from: Jamie Ortiz."
- Identify the property. "412 Elm St, Apt 2B."
- State the period. "Rent for: August 1 to August 31, 2026."
- Record the amount and balance. "Amount paid: $1,450.00. Balance due: $0.00."
- Note the method. "Payment method: cash."
- Sign it. Sign, add your title (owner, landlord, or property manager), and hand over the receipt. Keep a copy for yourself.
That last clause is the one landlords skip. Your copy is what proves the payment history from your side, supports the rental income on your tax return, and satisfies the record-keeping rules in states that have them.

- For tenants. A few states offer renter's credits or deductions that need proof of rent paid. Minnesota formalizes this: landlords there must provide a Certificate of Rent Paid to each tenant by January 31.
